Traceability Standards

Batch-level accountability on every order

Unique Batch Codes

Every production run receives a unique batch code at the point of processing. Codes are assigned before packaging begins and are not reused.

Farm-to-Facility Link

Internal records link each batch code to the source farm lot, delivery date, and in-house processing record. Available to qualified buyers on request.

Documentation Package

COA, phytosanitary certificate, and organic transaction certificate all reference the batch code, creating a complete documentary chain from production to port.

Traceability Explained

How VSV batch codes work

Every commercial order is batch-coded and tied to internal procurement, processing, quality, and dispatch records. Where applicable, VSV supports COA, phytosanitary documentation, organic transaction certificates, commercial invoice, packing list, and shipment-level traceability records.

How batch codes work

Each production run is assigned a unique code at processing in the format VSV-[PROD]-[FORM]-[YYYYMMDD]-[SEQ]. The code identifies the product, processing form, production date, and sequence, and is fixed before packaging begins. Codes are not reused.

What the buyer can see

  • Product name and category
  • Processing form and origin
  • Production date and batch size
  • Whether COA and phytosanitary documents are available
  • Shipment status

What internal records are maintained

  • Source farm lot and delivery records
  • In-house processing and quality records
  • Sampling, testing, and release records
  • Dispatch and shipment documentation

Internal records are available to qualified buyers on request.

How traceability supports audits

Batch codes create a continuous record from source lot through processing, quality, and dispatch. During certification and customer audits, each batch can be reconciled against its procurement, processing, and release records, supporting verification of organic scope, quality controls, and chain-of-custody.

How traceability connects with COA and shipment documents

COA, phytosanitary certificate, organic transaction certificate (where applicable), commercial invoice, and packing list all reference the batch code. This links each shipment back to its lot record and creates a complete documentary chain from production to port.
